Please read the following Policies and Conditions carefully. It forms the basis of any Family RV rental agreement you make. Rental prices Polices and Conditions are subject to change without notice. |
Renter and Driver Requirements:
All drivers must be minimum 25 years of age at time of rental and possess valid drivers’ license. Renter must be present and provide a major credit card and picture identification at time of pick-up. Renter’s identification name must match name on credit card being used to pay for rental. Only Authorized Driver (2) are per-mitted to drive & operate the motor home. Authorized drivers are defined as only those drivers expressly listed and designated as authorized drivers within this contract. Renter relieves Family RV and its insurance carrier (s) of any liability incurred while the motor home is driven or operated by anyone other than an authorized driver. Renter Certifies that all the information provided in the Reservation Application and in this contract is true and accurate. Any inaccurate or fraudulent information voids this rental contract.
Vehicles/Rental Vehicle Floorplan:
The reservation confirms a general vehicle type not a specific vehicle, make, floorplan or model year. Some units are sold when they hit a certain amount of mileage. If that is the case Family RV reserves the right to have the unit swapped over the same or similar unit in that same vehicle type or renter could be offered an upgrade at no extra cost if that specific vehicle type is no longer available. The following items are optional features of the motor home and are not included in the rental rate backup cameras, rear roof ladders, DVD players or Blue Ray Players, generators for Trailer models or awnings. Motor homes are guaranteed to have at least 1-TV in the unit which will have an HDMI port, or you can connect to cable at your campsite if available. If cable is available, please ensure ahead of time that your unit is stocked with a cable to connect once you arrive at your site. Not all trailers have a TV.
Payments and Security/Damage Deposit:
If reservation is made within 30 days of departure date, the total rental payment is due at time of reservation. If the reservation is made outside of 30days of the rental pickup date, a reservation down payment of $1000.00 – $2500.00 will be due. Unless rental cost is below $1000 or you are attending the Black Rock Desert Event, then rental amount is due at time of reservation. Renter authorizes Family RV to charge their credit card for reservation fee/rental amount or any damages caused by renter. Rental fees can be paid by MasterCard, Visa, Discover or cash. Full Payment is due 30days before departure. The security/damage deposit will range from $1000.00-$3000.00 and is required before departure and can be paid the day of departure. This payment can be made by cash or major credit card or Zelle. There is a service fee that applies to each rental. (We do not accept AMEX) Although not limited to these items, common deductions from the security/damage deposit are; damage to the RV, additional mileage, additional generator hours, fuel charges, additional cleaning, parking violations, traffic & toll violations. You are responsible to return the unit Full of fuel, clean inside and out and no damage. Refund of the unused portion of the security deposit is made within 14 days. This does not apply to bookings with rental dates of 8/20 – 9/10 : Labor Day/Burning Man reservations booked between the dates of 8/20-9/10 will have a 7-night minimum, Filter Fee, Cleaning Fee and increased security deposit. If you did not disclose that you went to Burning Man Event prior to departure and upon return its determined you did not pay the increased fees to do so you will be billed upon return or billed upon completion of your incoming inspection. During these travel dates your full rental amount is due 60 days of departure date. Renter is responsible for payment of all parking/traffic/toll violations. Non-reporting of parking/traffic/toll violations breaches the Rental Contract and may result in administrative charges in addition to the fines.
Cancelation Policy:
Reservation cancellations over 30 days before departure are subject to $200.00 cancellation fee. Reservation cancellations made outside of 30 days of arrival date will forfeit $200.00. cancelations made 29-14 days prior to arrival date will receive a 50% refund of down payment. cancelations made within 14-days of arrival will be completely non refundable, meaning any and all amounts charged are non refundable.
**LABOR DAY RENTAL PAYMENTS WITH TRAVEL DATES BETWEEN 8/20-9/11 ARE 100% NON REFUNDBALE** If there was a state closure you would be issued a 1-year credit to use from date of original booking took place.
Pick-up and Return:
Closed Sundays Pickup Time: 2-4 PM (must have watched the instructional video prior to arrival. Other departure times can be scheduled during our off-season for a fee if the unit is available. In order to guarantee an early pickup, you Must book the unit and pay for the night before to ensure you can pick up early. Return Time: 9-11 AM. There are NO Refunds for early returns or No Shows. If you return late you will be charged $75/per hr up to 2 hours. After 2 hours late, late fees plus an additional rental night will be charged.
Delivery Options:
We do offer delivery & pick up for a fee plus fuel charges plus any mileage involved. Fuel is billed upon return (motorized units only) at a rate of $7.50-10.00/per gallon. If interested, please get pricing prior to booking. Delivery times vary dependent upon delivery location. We do offer site inspections prior to renting for a fee to ensure units being placed will fit properly. If not site check is done and unit dose not fit no refunds are given.
Preparation Fee:
Prep fee will be applied to each reservation. This is a flat fee which includes a full tank of propane and the emptying/Cleaning of all holding tanks upon return, online instructional video for reference while out on the road, 1 Bottle of Toilet Chemical, 1 roll of toilet paper. Fresh water tank will not be filled unless requested to do so.
Insurance:
The renter will need to contact their auto insurance company at least 1 week prior to leaving on their trip and have their insurance agent fax or email Family RV an insurance certificate showing that the rental vehicle is fully insured. Insurance certificate will need to be acceptable by Family RV and include deductibles, coverage’s, rental unit listed as insured vehicle, and Family RV listed as the Lien Holder / Loss Payee and list all Drivers on rental agreement as covered. If renter’s insurance company cannot extend insurance to rental vehicle, there is an insurance activation fee of a certain amount per day for each driver. Deductibles and activation fees vary dependent upon rental year, make and model of vehicle. Deductibles range from $1500-$5000.00 Per occurrence. Coverage’s Limits: Liability: $15,000/$30,000 Auto Medical: $2,000 each person Uninsured Motorists: $15,000 each person. Coverage – Family RV primary insurance provides coverage to the rented vehicles where the renter has activated the primary coverage through Family RV. The primary insurance coverage activated extends to the rented vehicle, providing renter is in compliance with all of the terms and conditions of the rental contract. Family RV’s Motor home Primary Insurance insures the rented motor home for comprehensive, collision, and liability with state statutory limits of liability 15/30/5 less the deductible. Exclusions of coverage are noted on the rental contract. There is the also the optional SLI & PAI/PEI which allows for additional coverage which you can ask your rental agent about cost will vary and can be purchased through our Insurance Carrier direct. Renter must call Family RV before their departure to acknowledge receipt of the binder. The renter cannot leave with the rental vehicle unless the insurance binder has been received and is acceptable to Family RV. Family RV’s insurance deductibles over the rental dates of 8/20 – 9/10 will be $3,000-$5,000 if Family RV’s insurance needs to be activated.
Renter Damage:
If the RV is returned with damage while the RV is out on rental to renter named on contract, renter is responsible to pay all damage costs whether the renter was at fault or not or if damage was caused by acts of nature (Wind, rain, earthquake, fire, flood, etc). If an accident occurs, renter is responsible for obtaining a police report, contacting their insurance company and contacting a rental agent at Family RV immediately at (408) 612-4700. Renters with an insurance endorsement will need to go through their insurance company for reimbursement. You are responsible for loss due to theft or vandalism, or attempted theft or vandalism of the RV. If damage amounts are substantial and a claim must be submitted, the renter is responsible for all damages, administration fees or additional expenses not covered by insurance. If the rental was returned with damage, renter’s security deposit will be held until the renter’s insurance company has paid for the damages. Estimates for damage can take up to 7-21 Days dependent upon the amount of damage to the unit. Any deductible or amounts not paid by the insurance company will be deducted from the renter’s security deposit. Check in time may take up 2 hours for damage estimating, please allow yourself enough time. Family RV will estimate the damage at the current labor rate of $185-210.00/per hour and provide renter a copy as well as expedite the repairs. There are administrative fees connected with any damage claims, regardless of whether you are at fault or not. Ranges from $0-250.00 based on the amount of damage. Renter is welcome to document and get own estimate by a licensed and certified shop within 5 days after unit has returned. If the unit has to leave the lot to have estimate completed renter will need to rent the vehicle and pay all fees involved pertaining to the Rental Terms and conditions.
Generator:
Travel trailers are not equipped with onboard generators build in. Motor home Rental units will have an onboard generator and will receive 2 hours free hrs/per day of generator usage and charged $3.00 per hour thereafter. No refunds will be given on unused generator hours. *We do not recommend Dry Camping, meaning no electrical outlet as it causes for malfunctions*
Mileage:
No Mileage fee for ANY TOWABLE product. There are 50-100 miles per night included in the nightly rate of the RV. Number of miles included is dependent upon how many nights you travel. Additional miles are available starting @ .35cents/mile.
Restricted Travel Areas:
Restricted areas include Mexico which our units are Not Allowed to travel through. We do not recommend traveling through desert areas during hot periods, including Death Valley, during these periods, many areas are not habitable and could pose for generator malfunctions and other failures. If a problem occurs, you will be responsible to pay for any damage caused and any loss of revenue while the vehicle is being repaired. If you are traveling to an elevation of 2500 feet or more, you may encounter troubles with the operation of the generator. If this occurs, we suggest you hook up to 110 volts to operate the 110 volt appliances. If the generator malfunctions due to elevation, please do not use or try to adjust the generator. No compensation will be given for generator malfunction. During the winter months we do not recommend that you travel to or through snow areas, use snow chains, or travel where the weather is below freezing. Tire chains can damage tires if not properly installed and the holding tanks may freeze and burst, the renter will be responsible to pay for any damages caused and any loss of revenue until the rental vehicle can be rented again. Rental vehicle is not allowed on beach/sand areas, Non-Public roads or Roads with low clearance. Renter is liable for all damages to the vehicle, tires, windshield, towing charges, and other expenses associated with traveling thorough Restricted areas described above.
On Road Concerns:
The customer is responsible for checking engine oil, fluids, and coolant levels at each refueling, as well as reporting mechanical failures immediately by calling the office and or emailing to info@familyrv.com. For any troubleshooting or items forgotten from the instruction please refer back to the instructional online videos and use as a Main Source on our website. Manuals are also available online on our site as well for your use. Upon departure you are given a folder with emergency roadside assistance info. Additionally, renters are given a phone number to our RV specialists to aid them with any questions throughout their trip. We cannot assist you if you do not call us for assistance. Please give us time to respond if it’s an emergency then call the Roadside or 911! Renter must call Family RV for assistance to help with all concerns and mechanical concerns. No reimbursement for out-of-pocket expenses will be paid to renter unless prior authorization has been given by a manager from Family RV and receipts of repairs are given to Family RV on return. If renter is at fault for any damage, or mechanical failure, renter will be responsible for all repairs, and any loss of future rental income. Renter may be held responsible for mechanical damage due to negligence in vehicle operation or failure to provide normal maintenance. Renter is responsible to change the engine oil for every 5,000 miles that they travel, and this must be done by an authorized dealer not just any service center. If you plan on traveling over 5K miles you must notify Family RV. Renter must provide Family RV with the oil change receipts upon their return for reimbursement. Radio, TV’s, air conditioning, Fridge, microwave and appliances, cruise control and generator malfunctions are not considered breakdowns and no refund are available.
Smoking and Pet Policy:
There is No Smoking in any of the Family RV Units. If the unit returns with a smoke odor, renter will be charged additional fees to remove the smoke odor from the unit. Costs will vary but could be a minimum of $500.00 or more. Pets under 45lbs are welcome in some of the units with a fee & an additional damage deposit. Pets are NOT allowed on RV Furniture and not allowed in CLASS A RV RENTALS. Any damages caused from the pets will be billed to the renter and are not covered by insurance coverage.
Optional Equipment:
Additional accessories such as pots and pans, eating utensils, plates, cups, bedding, camping supplies, toasters, coffee pots, bike racks, bikes, tables, chairs etc are available for rent. Call for pricing. All optional equipment must return in the same condition as given or fees will apply. Dish wear must be washed, bbq pits must be cleaned out or there will be a minimum fee of $50.00 charged upon return. All items must return in same condition as given. Linens are the only exception. FRV will wash those upon return at no charge.
Towing:
Towing of Trailers is not allowed. If approved, there is a daily towing fee and or mileage fee please reach out to Family RV to inquire about rates. The renter must provide his or her own insurance binder if planning to tow. You must bring the trailer with you day of departure.
Day of Departure:
You will check in at the front office and pay for the Security/Damage Deposit and sign paperwork. Renter will be given a damage assessment. Renter must have already watched the On-line instructional video prior to arrival. Check out time can take anywhere from 1-2.5Hrs. One person allowed to go into the RV with the technician for instruction. It is the renter’s responsibility to ensure that they understand all functions of the RV before departing, and to mark down all pre-existing damages on the checkout sheet. Once the rental vehicle leaves Family RV’s facility, the renter is responsible for all damages. Feel free to take videos, photos etc for your own reference. If renter has any questions or concerns with the rental unit prior to departing Family RV’s lot, renter must inform the rental department so that the concerns or questions can be addressed before departure. Hook up of rented Trailer/5th Wheel: Renter is to provide their own tow hitch for towing and to ensure that they have all proper hook up on their tow vehicle to tow the Trailer/5th Wheel. It is the renter’s responsibility to hook up their tow vehicle to the rented Trailer/5th Wheel, Family RV will instruct renter how to hook up and disconnect the unit to the tow vehicle, but renter is responsible for connecting the Trailer/5th Wheel to their tow vehicle before departing Family RV’s lot. Renter is required to get a vehicle inspection by a family rv tech to ensure vehicle qualified for towing the trailer of interest. Contact us today to setup an appointment for inspection. All tow vehicles will require the following:
**Weight distribution hitch recommended. Check vehicle manufacturer tow capacity.
· Class 3 Receiver required
· Electric Brake Controller (a must)
· 2 5/16″ Ball OR 2″ (Verify with front desk)
· 7 way Electric Plug at rear bumper (Trailer – RV standard)
· Extended Mirrors (if needed)
· Sway Bar (if needed)
· Weight Distribution Hitch (if needed)
· Top of ball height must be between 18” and 24” from the ground dependent on trailer type – please see our service department for the exact height of your rental unit. Or come in and view.
You MUST HAVE a Brake controller, 2 5/16 ball OR 2″ (Verify with front desk), and a 7 way trailer plug.
